/ 01 Event management company

Events that endin orders.

An event is judged on the orders that come in the weeks after it. PromotEdge, an event management company, plans and runs dealer meets, launches and trade-show stalls across India, and follows up every visitor, so each event brings qualified leads.

For a cement, equipment or auto-parts company, a few days a year carry much of the selling: the annual dealer meet, a product launch and the trade show. These days cost a lot, so we judge them on what happens after.

We plan every event backwards from one business number: orders booked, scheme sign-ups, qualified meetings or specifications won. Planning your next show? Ask for a free event plan.

/ 02 What we run

Events and stallswe plan and produce.

01

Exhibition stall design

3D designs to the organiser's rules, with display, demo zone, meeting room and a reception counter. A shell scheme (the organiser's standard booth, commonly 9 sq m) suits a first show; a custom stall suits a show that has earned it.

02

Stall fabrication and set-up

Fabrication, transport, installation inside the build-up window and dismantling, delivered within the PromotEdge group. Delivered through PEXORA, a joint venture of PromotEdge and Prodigy.

03

Dealer meets and conferences

Annual and regional meets and customer conferences, with an agenda built around targets and schemes. Plan 6 to 10 weeks ahead; conferences 8 to 12.

04

Product launch events

Launches for the trade, press and key customers, timed with the advertising so the news lands everywhere at once. Plan 6 to 10 weeks ahead.

05

Corporate events

Annual days, rewards nights, offsites and anniversaries, with show flow, AV and hospitality. Plan 6 to 8 weeks ahead.

06

Stage, AV and live streaming

Stage sets, LED walls, sound and light, plus live streams for the dealers and staff who can't travel.

07

Invitations and meeting booking

Invitations to buyer and dealer lists on LinkedIn, email and WhatsApp, with meeting slots booked before the show.

08

Visitor capture and follow-up

Badge scans, tablet forms and QR codes; each visitor tagged by role, interest and buying time. Hot leads are called within days, with a pipeline report for every event.

/ 03 Common hurdles

What usually gets in the way,and the way through.

“Our stall looked great. We came back with a pile of business cards and no follow-up.”

Visitor capture is designed into the stall: a reception counter, tablet forms or badge scans, and a hot, warm or cold tag before the visitor leaves.

“The fabricator missed the build-up window and we opened half-ready.”

We work to the organiser's exhibitor manual from day one: drawings, power orders and badges placed on time, with a buffer before the hall opens.

“Our dealer meet was a long dinner and a slide deck nobody remembers.”

The agenda is built around what dealers must do next quarter, with an order or scheme sign-up desk in the room.

“We don't know which trade show is worth the money.”

We track cost per qualified lead and pipeline value for each event in your CRM, so you can compare shows and drop the weak ones.

“The launch drew a crowd but no enquiries.”

We time press and social posts around launch day and keep search ready, so the news lands everywhere at once and enquiries have somewhere to go.

“Every year we build a new stall and throw it away after four days.”

If you exhibit several times a year, a modular stall that resizes usually costs more once and less at every show after.

“We're new to exhibiting, and the organiser's manual runs to dozens of pages.”

We turn it into one checklist of dates, owners and costs. For a first show, start with exhibition stall design.

/ 05 How we work

A trade show, from space booking to pipeline.

Book space 6 to 12 months ahead for major shows. A custom stall needs about three months from brief; a shell-scheme stall, three to four weeks. Dealer meets and launches follow the same logic: start from the date and work back. First show? Talk to us.

  1. 01

    Choose the show and space

Pick by who attends and what you want: new dealers, project buyers, export enquiries or a launch.

  2. 02

    Brief and 3D design

Objectives become a stall plan, shown in 3D before anything is built.

  3. 03

    Engineer and approve

Drawings go to the organiser, materials meet fire and safety rules, and power, rigging and badges are ordered before deadlines.

  4. 04

    Invite before the show

Invitations and booked meetings, with account-based marketing for the buyers you could not meet last year.

  5. 05

    Build, run and capture

Fabrication inside the build-up window, a briefed stall team and a stand-up every morning. Every visitor is recorded and tagged hot, warm or cold.

  6. 06

    Follow up and report

Hot leads are called within days. A report covers visitors, meetings, qualified leads, pipeline and what to change next edition.

More on this

How we deliver it, and why

  1. We plan backwards from one business number. Orders, sign-ups or qualified meetings are what the event is judged on. A one-line goal agreed at the brief.
  2. We choose the show by who attends. A show booked out of habit rarely earns its stall. A short comparison of shows.
  3. Our Chief Creative Director, Sayantan Guha, leads the creative brief for the stall or event. The idea and the look should serve the business number. A 3D design you approve before anything is built.
  4. We design the stall for visitor capture. A pile of business cards is not a lead. A reception counter and scan tools.
  5. We invite before the show. Key visitors arrive with an appointment. Meetings booked in advance.
  6. We score every visitor on the day. Sales should call the hot leads first. Hot, warm and cold tags.
  7. We report cost per qualified lead. So you can compare one show with the next. A pipeline report for each event.
  8. Our senior account manager, Rima Shaw, is your day-to-day contact. One person who knows the dates, owners and costs saves you chasing. One checklist of dates, owners and costs.

The market

The 44th India International Trade Fair, run by ITPO at Bharat Mandapam, closed on 27 November 2025 with over 18 lakh visitors, said ITPO's managing director. The Bharat Mobility Global Expo 2025 drew over 8 lakh visitors in its first five days, with more than 1,500 exhibitors, including 34 vehicle makers. Other major venues include BIEC in Bengaluru, the Bombay Exhibition Centre in Mumbai and Biswa Bangla Mela Prangan in West Bengal.

A brand that built an event around its owners

Mahindra's third Thar Fest took place in Kochi on 10 March 2019, with a Thar parade, a 4x4 experience zone and a club challenge among 11 off-road clubs, per its press release of 11 March 2019.

How your business model changes the plan

Dealer-led B2B: the dealer meet and the trade show do most of the selling, so plan both around orders.

D2C and startups: a launch with creators and press suits you; take a shell-scheme stall first and count meetings.

Pharma and health: events for doctors run by pharmaceutical companies must follow the Uniform Code for Pharmaceutical Marketing Practices (UCPMP), 2024. General guidance, not legal advice. Clinics and diagnostic centres can see our healthcare work.

Between events, trade and channel marketing and brand activations keep the momentum going.

Who sets the rules and who shaped the field in India

EEMA, the Event and Entertainment Management Association, is the industry body for India's events and experiential marketing industry, and runs the EEMA Spotlight Awards. ITPO, India Trade Promotion Organisation, organises the India International Trade Fair.

AI in events: today and next

Adobe Firefly can draft mood boards and storyboards for a stage or stall idea. Google Meet lists Hindi among its translated-captions languages on eligible Workspace plans, useful when a dealer meet streams to several regions. Both help planning; the room still needs people.

/ 07 Cost

What events and stalls cost.

Organiser space charges and venue hire are billed at actuals, and so is travel. Our own work is quoted line by line, with design and production apart from management.

What affects the cost

  • Stall size, open sides and height, and shell scheme or custom-built
  • Materials and finish, and AV and lighting: LED walls, screens, sound and stage lights
  • City and venue, including the organiser's charges for power, rigging and badges
  • Guest numbers for dealer meets and conferences, with their travel and stay
  • Reuse: a modular stall costs more once and less every show after

How we quote

  1. You tell us the show or event date, the space or guest count, and the result you want.
  2. We check the organiser's manual or the venue's terms and share a 3D design or an event plan.
  3. We agree the written scope: what we build and run, and what stays with the organiser or your team.
  4. The quote shows design, fabrication, AV and management on separate lines. Space, power and venue are at actuals.

What you get in the quote

  • 3D stall design or event run-of-show
  • Fabrication, transport, installation and dismantling for a stall
  • Stage, sound, light and LED wall for an event, where needed
  • Visitor capture tools and the follow-up plan

When you compare stall quotes, check that each one includes transport, installation and dismantling, not just the build.

Straight answers.

  • It plans and runs an event from start to finish: hall space, stall, stage, sound, guests, the day itself and the follow-up. The parts that matter most come before and after: inviting the right people, then turning visitors into leads. To choose one, ask who builds and staffs the stall, how visitors are recorded, and to see a real report.

  • Two bills make up the cost. The organiser charges for space, usually per square metre, plus power and badges. The stall depends on size, open sides, materials and AV, with transport on top. A shell scheme costs least; a modular stall costs less per show if you exhibit often.

  • A shell scheme is the organiser's standard booth with wall panels, a fascia name board, carpet, lights and basic furniture. A custom stall is built on bare floor to your design. Within the PromotEdge group, one team designs, builds, installs and removes it, so one team answers from the 3D design to the stall in the hall.

  • Book space as soon as the organiser opens sales, often six to twelve months ahead for major shows, because corners and islands go first. Start stall design about three months before the show, so the build, transport and approvals are not squeezed into the last fortnight.

  • We use badge scanners where the organiser provides them, plus tablet forms and QR codes. Each visitor is tagged hot, warm or cold on the day. Hot leads reach sales within days, and the rest get email and WhatsApp follow-up, all tracked in your CRM.

  • Yes. Our servicing team is based in cities across India. Planning, 3D design, lead tracking and reporting work the same wherever the show is, and we meet you in your city at least every three months. See our events work in Lucknow. Our in-house team does the work, with consultants and partner agencies.

  • Against the business number agreed at the brief. For a trade show: qualified meetings, leads by stage and pipeline value, with orders traced over the following months. For a dealer meet: attendance, scheme sign-ups and orders booked. See how this works for industrial manufacturers and real estate launches.

  • Yes. Within the PromotEdge group we plan and produce the agenda, content, stage and AV, invitations, recognition and order follow-up. At the brief we agree which parts sit with us and which with your team, such as venue contracts, travel and hospitality.
