/ 01 Marketing automation and CRM

Stop losing leads you've already paid for.

Most leads are lost after the enquiry, not before it. PromotEdge sets up CRM and marketing automation so every enquiry you pay for gets a fast call and a follow-up.

If your leads sit in a spreadsheet and sales calls them junk, this is the gap we close.

A CRM (customer relationship management) is software that keeps every lead in one place. Marketing automation is the rules that handle the routine: the instant brochure, the reminder, the nudge to quiet leads.

We start with your sales process, then add software. It suits corporate groups, listed companies and startups, most of all dealer-led firms such as industrial and construction equipment makers, and real estate teams chasing site visits. With ten enquiries a month, a shared sheet is enough, and we will say so. If the offer is the real problem, start with a marketing audit.

/ 02 What we build

One system,from enquiry to order.

01

CRM selection and set-up

Pipelines, stages, fields, user roles and a phone-friendly view, built for how your team really sells.

03

Lead routing

Each lead goes to the right person by product, city, pin code or language, and is re-assigned if nobody calls.

04

WhatsApp nurturing

Instant replies, brochures and reminders through Meta-approved templates, and only with the person's opt-in.

05

Email and SMS nurturing

Sequences by interest and stage from authenticated domains. Commercial SMS in India needs DLT registration of the sender and templates.

06

Lead scoring

Points for fit and interest, so sales calls the warmest leads first and marketing keeps nurturing the rest.

07

Dashboards

Leads, time to first call, stage-wise conversion and revenue by source, for the promoter and the sales head.

08

Data clean-up and migration

Old sheets and CRM records de-duplicated, cleaned and moved across, with consent records kept.

/ 03 What usually gets in the way

Where leads slip through, and how we close the gap.

“We get plenty of leads. Sales says they're bad.”

Often the leads are fine and the first call is slow. We time the first call on every lead and route leads so it happens within minutes.

“Our leads sit in an Excel sheet that one person updates.”

Website forms, Google and Meta lead forms, IndiaMART, call tracking and WhatsApp feed the CRM on their own. No copying, no lost rows.

“We bought a CRM two years ago. Nobody uses it.”

Usually it was set up for a demo, not for a salesperson on the road. We cut fields to what sales needs, set it up on the phone and train the team on live leads.

“We can't tell which campaign brought the customers who paid.”

Each lead carries its source, campaign and keyword into the CRM, and a sale links back to that source.

“Our dealers get leads from us, and we never hear what happened.”

Leads go to dealers by city or pin code, and each dealer updates the status within a set time. You see who converts and who sits on leads.

“We send the same WhatsApp blast to everyone, and people block us.”

Messages go by stage and interest, only to people who agreed, and stop when someone buys or opts out.

“How will we know the CRM is working?”

One monthly report: leads, time to first call, cost per qualified lead (what you pay, on average, for one serious buyer) and sales by source. We check it against your own CRM records.

Our beliefWe know digital inside out, and we think like an Indian business.

/ 05 How we work

Live in four to eight weeks, then better every month.

Most set-ups go live in four to eight weeks, depending on teams, products and lead sources. We believe in process, so good results repeat.

  1. 01

    Map the funnel

We sit with sales and marketing and draw how a lead moves today: sources, who calls, what they say, where leads die.

  2. 02

    Choose or fix the CRM

If your CRM can do the job, we keep it. If not, we shortlist options by team size, budget and the tools it must connect to.

  3. 03

    Connect the sources

Forms, ad lead forms, marketplaces, calls and WhatsApp are wired in, with the source and campaign on every lead.

  4. 04

    Build routing and nurturing

Assignment rules, reminders, WhatsApp templates and email sequences, all tested with dummy leads first.

  5. 05

    Train and launch

Short sessions for salespeople on their own phones, a one-page guide and close support in the first weeks.

  6. 06

    Review and improve

Each month we read response times, conversion by stage and message results, and cut what doesn't work.

Tell us what’s not working. We’ll send you an honest one-page growth plan, free.

More on this

How we deliver it, and why

Milton Das, who runs our email campaigns, sets up your email sequences. Bishal Naskar, our client servicing executive, does the daily follow-ups with you.

How your business model changes the plan

A dealer-led B2B (business-to-business) firm routes leads by pin code and tracks how fast each dealer responds. A multi-branch healthcare group routes enquiry calls to the right branch desk and tracks the callbacks. A D2C (direct-to-customer) brand leans on WhatsApp and email after the first order. A franchise shares one lead pool across outlets. A services firm tracks quotes and renewals.

What gets automated at each stage

New enquiry: an instant reply and an alert. First call: a reminder, and a new owner if it is ignored. Qualification: a score from answers and activity.

Nurture: messages by interest. Quote or site visit: a follow-up if it goes quiet. Won or lost: the sale tied to its source, or the reason for losing it. We measure response time, calls within the hour, qualified rate, quote-to-order rate and revenue by source.

  1. Time the first call before changing anything. A cold lead is the dearest leak, and the cheapest to fix. A first-call baseline in week 1.
  2. Draw the funnel on paper before touching software. Software copies your habits, so the habit comes first. A one-page funnel map.
  3. Tag every source and campaign. Without it, no sale can be traced back to an ad. Leads arriving with their source.
  4. Test with dummy leads, then train on live ones. People use a tool once they have seen it work on their own leads. A test log and phone-first training.
  5. Review monthly and cut what fails. Change is the only constant, so the set-up has to keep moving. One report from lead to revenue.

AI in marketing automation and CRM: today and next

Today: Zoho

Zia, Zoho CRM's assistant, scores prospects by how likely they are to convert. It suggests the next step on open deals and the best time to contact, and summarises emails and calls. Call transcription has a monthly minute limit.

Today: HubSpot

HubSpot's Agent Hub can draft follow-ups and CRM updates after a meeting, and you approve them first. Many AI features run on HubSpot Credits.

Next

Our view: scoring and drafting will keep improving, but they need clean data and a named owner for every lead, so the funnel map comes first. More on tools in our AI tools guide. Want us to look at where AI could help your team? Ask us.

/ 07 Cost

What affects the cost of automation and CRM.

No price list. These things move the number.

CRM licences, WhatsApp message charges and email tools are paid to their providers, apart from our fee. Set-up usually takes four to eight weeks.

What affects the cost

  • Number of users, teams, products and branches
  • Lead sources to connect, and any custom link to your ERP or website
  • Number of journeys, WhatsApp templates and email sequences
  • Data migration from old sheets or another CRM
  • Training across locations, and access for dealers
  • The CRM's own licence, which varies a lot between tools

How we quote

  1. We map how an enquiry reaches you today and where it goes cold
  2. We count the users, teams, lead sources and old data you want to bring in
  3. We write the scope: CRM set-up, integrations, journeys and training
  4. You get a quote within 2 working days, set-up and monthly management on separate lines, the licence shown as the provider's cost

What you get in the quote

  • The funnel map and the list of lead sources
  • CRM set-up, with fields, stages and user roles
  • Journeys, templates and sequences, with their count
  • Data migration, if needed, and training for sales teams and dealers
  • A dashboard from lead to revenue by source

Meta charges for WhatsApp business messages by message type and changes its rates from time to time. The plan shows the current rates before anything is sent.

/ 08 What happens next

What happensafter you ask.

For projects we think we can help, this is how it goes.

  2. 02

    You get a 1-page plan

A short, honest plan: what to fix first and what we would do. It is free.

  3. 03

A quote, if you want one

If you want to go ahead, we send a quote within 2 working days.

We confirm the timeline in the quote. Contracts start at 3 months, with 30 days' notice to stop.

Straight answers.

  • Our fee depends on users, teams, lead sources, journeys and data to move. The CRM licence is separate, from a small amount per user each month to far more for enterprise tools. We quote against a written scope, with licence and message charges shown as the providers' costs.

  • Use the CRM your salespeople will actually open. Weigh team size, budget, phone use, regional languages and the tools it must connect to. Common choices in India include Zoho CRM, Freshsales, LeadSquared, HubSpot and Salesforce. Pick a partner who starts with your sales process, not a demo, and keeps the CRM account in your name.

  • Yes. Our servicing team is based in cities across India. We stay in touch every day, visit regularly, and place a team member at your office for some jobs. Our in-house team of 65+ people does this work, with industry consultants and partner agencies where a job needs them.

  • Rules that send the right message, or create the right task, at the right time without anyone doing it by hand. In B2B, a buyer downloads a brochure at 11 pm, gets a matching follow-up within a minute, and the salesperson is alerted to call at 10 am. Quiet leads get a slower nurture.

  • Yes, with permission. The person must opt in, marketing messages must use templates Meta has approved, and opting out must be easy. Under the DPDP Act, 2023, consent should be clear and specific. This is general guidance; have your lawyer approve the wording.

  • Yes. Dealers can get leads by city or pin code, with a simple way to update the status from their phone. You see response times and conversion by dealer, which makes dealer reviews much easier. Dealers who sit on leads are easy to spot, and leads can move to the next dealer.

  • Yes. Qualified leads and sales can be sent back to the ad platforms as offline conversions. The ads then learn to find buyers instead of people who only fill in forms. Only leads your team has marked as qualified or won are sent back.

  • You do. The CRM account and its licences belong to your company, and our team works inside it as invited users. Your customer records stay yours, even if you change agencies. You can remove our access whenever you choose, and the data stays in your account.
