/ 01 Intelligent document processing

Software reads the page.A person checks the doubt.

Software can read a document in seconds, but only a person should settle a number it is unsure of. PromotEdge sets up intelligent document processing that reads purchase orders, quotations, invoices and forms into the system you already use, and sends every doubtful field to your team before it is saved.

PromotEdge is a marketing and growth agency, not an IT company. Slow order entry slows revenue, so we start with orders, quotations. Invoices, dealer forms and KYC (know your customer) papers come next.

This is one part of our AI automation work. It does not fit every business. A few documents a week, or papers that look different every time, are cheaper to type by hand, and we will say so.

/ 03 Common hurdles

What usually gets in the way,and the way through.

“Purchase orders arrive as PDFs, photos or email text, and someone retypes each one.”

Customer, items, quantity, rate and date are read into a draft order. A person confirms it before it is saved.

“Supplier invoices pile up before month end, and mistakes show up late.”

Each invoice is read into your accounts software as a draft. Totals and the tax number are checked, and any mismatch goes to a person.

“One supplier sends five different invoice layouts.”

We start with the layouts you see most and send the rare ones to a person. The list grows when a layout repeats.

“We tried OCR (software that turns a picture into text), and it got half the fields wrong.”

Reading text is only step one. We test on your own papers, add checks on the numbers and decide which fields a person always confirms.

“Dealer forms and KYC papers are scanned, but nobody can search them.”

Names and numbers are stored against the record, with the scanned image beside them.

“The papers carry personal data, and nobody is sure who may open them.”

Access and storage are agreed before the first file is read. See the rules fold below.

/ 04 How we work

One document type first, then the next.

The timeline depends on how many document types and layouts you have, and how quickly your team sends samples. We confirm it in the quote. Our servicing team is based in cities across India.

  1. 01

    Pick one document type

Usually the one your team retypes most, such as purchase orders or supplier invoices.

  2. 02

    Test on your own papers

We read a sample of real documents and show you every field it got wrong.

  3. 03

    Agree the checks

You decide which fields a person always confirms and which can pass when the checks are clean.

  4. 04

    Run beside the manual work

For a while your team keeps typing as before, and we compare. Nothing is saved to your system on trust.

  5. 05

Go live for that one type

Doubtful fields go to a named person with a time limit. The log shows every document.

  6. 06

    Review every month

We read the errors, fix the rules and add the next document type.

How we deliver it, and why

Raju Barui (backend developer) and Rima Shaw (senior account manager) are part of the team that does this work.

How your business model changes the plan

A dealer-led maker (see manufacturing) starts with dealer orders. An exporter starts with invoices and shipping papers. A logistics firm starts with delivery receipts. A lender (see banking and finance) starts with KYC forms.

  1. Test on your own papers first. Demo files are clean, and yours are not. A test sheet by field.
  2. Check numbers with rules. A total that does not add up is easy to catch with a rule. A check list you approve.
  3. Send doubt to a named person. A queue nobody owns just becomes another pile. An owner and a time limit.

Personal data in your papers: what the rules say

Consent and safety

India's DPDP Act, 2023 says consent must be free, specific, informed, unconditional and unambiguous, with a notice given first. A business must keep reasonable security safeguards, report a breach, and erase data once its purpose is served unless a law says to keep it. The 2025 Rules phase in over 18 months. This is general guidance, not legal advice.

AI in document processing: today and next

Today

Microsoft says Azure Document Intelligence reads key data from forms and documents, with an invoice model. Google says Document AI turns document data into structured data, including key-value pairs in forms and tables. Microsoft claims high accuracy on structured documents. Neither has seen your papers, so we test on them.

Next

Our view: reading will get easier and cheaper, and deciding what a doubtful field means will stay with your team. Want us to look at which papers to start with? Ask us.

/ 05 Cost

What affects the cost of document processing.

No price list. These things move the number.

We publish no price list, because ten invoice layouts and one order form are different jobs. The first step is a 30-minute AI check: a call with a strategist and a one-page plan on where AI would help first, for projects we think we can help.

What affects the cost

  • Number of document types and layouts
  • Languages and scan quality
  • How many fields a person must confirm
  • The system the data goes into, and its link
  • Personal data in the papers, and the access rules
  • Monthly care after launch

How we quote

  1. You tell us which papers your team retypes, and how many arrive each week
  2. We read a sample and list the fields and checks
  3. We write the scope, with an owner for each part
  4. You get a quote within 2 working days, each cost on its own line

What you get in the quote

  • The document map and the sample test
  • The reading flow and review screen, with the link, tested
  • An access list and a retention note
  • A monthly review, if you choose it (3-month minimum, then 30 days' notice)

We take on a limited number of projects and say honestly if one is not a fit. Comparing quotes? Ask who owns the accounts and the stored files.

/ 06 What happens next

What happensafter you ask.

For projects we think we can help, this is how it goes.

  1. 01

    A strategist calls you

In one working day: a 30-minute call with one of our strategists about your business and what is not working.

  2. 02

    You get a 1-page plan

A short, honest plan: what to fix first and what we would do. It is free.

  3. 03

A quote, if you want one

If you want to go ahead, we send a quote within 2 working days.

We confirm the timeline in the quote. Contracts start at 3 months, with 30 days' notice to stop.

Straight answers.

  • It is software that reads papers such as invoices, purchase orders, quotations, delivery receipts and KYC forms, pulls out the key fields and puts them into your system. It works best when layouts repeat. A person confirms the fields it is unsure about.

  • Each invoice is read into your accounts software or ERP as a draft. Rules check that the numbers add up and match the purchase order. A mismatch goes to a named person, and nothing is booked until the checks pass or that person confirms. If a link is not possible, we say so.

  • It depends on your papers, so we test a sample of them and show you every wrong field before go-live. We quote no accuracy figure in advance, because a tool maker's claim is not a promise for your documents. Doubtful fields always go to a person.

  • It can be, if access and retention are agreed first. India's DPDP Act, 2023 asks for reasonable security safeguards, a clear notice and consent where you rely on consent, and erasing data once its purpose is served. This is general guidance, not legal advice. Ask your lawyer what applies to you.

  • It depends on document types, layouts, languages, the system it links to and the checking needed. We publish no price list. The quote comes within 2 working days of the call, with each cost on its own line, and we confirm the timeline in it.

  • Yes. Our servicing team is based in cities across India. We talk daily and meet you in your city at least every three months. Our in-house team of 65+ people does the work, with industry consultants and partner agencies. You keep your accounts and your data.
