/ 01 Exhibition stall design

A stall thatearns its floor space.

A stall is paid for by the leads it brings back. Exhibition stall design is planning the layout, the 3D view and the build of a booth to the organiser's rules.

PromotEdge designs and fabricates stalls for brands across India, from shell scheme upgrades to custom, modular and double-decker builds.

Think creative. Act on numbers. One team takes your stall from 3D design to organiser approval, build-up and dismantling. Delivered through PEXORA, a joint venture of PromotEdge and Prodigy.

Who it's for. B2B (business to business) brands such as industrial manufacturers, and consumer brands at property or healthcare expos. Still choosing shows? Start with our events and exhibitions service.

/ 02 Build options

Stall options,and what you receive.

Six ways to build a stall, cheapest first. Many good stalls mix two.

OptionWhat you receiveSuits
Shell scheme upgradeThe organiser's 3 × 3 metre octanorm booth (aluminium frame, slot-in boards, fascia, carpet, table, spotlights), dressed with printed panels and a branded counterFirst shows, small budgets
Octanorm system stallAluminium uprights and infill panels on bare space; 3D views, graphics, installationQuick builds, regional shows
Wooden custom stallPlywood and MDF, laminate or paint, test-assembled in the workshop; full 3D design and drawingsFlagship shows, product launches
Fabric stallLight aluminium frames in printed stretch fabric, sometimes backlitBrands travelling to many shows
Modular reusable stallPanels, frames and counters stored, resized and set up againSeveral shows a year
Double-decker stallA second level on steel, with structural design and stability certificateLarge spaces, where allowed

Every option includes the organiser's drawings and visitor capture. Halls set their own rules: Bharat Mandapam (Pragati Maidan) in Delhi (stall design in Delhi NCR), BIEC in Bangalore, and the Biswa Bangla Convention Centre and Science City in the east. We draw to the hall and the manual from the first sketch.

/ 03 Signs you need this

You need a better stallif this sounds familiar.

“The 3D render looked great. The real stall looked cheap.”

You see real laminate, fabric and print samples first, and we check the stall in the workshop before it travels.

“We were still fixing the stall at opening, or the organiser rejected our drawings.”

Drawings follow the exhibitor manual's height, fascia, fire-retardant and structure rules from draft one. The stall is built once in the workshop.

“Hundreds walked past. We came back with forty visiting cards.”

Open sides face the main aisle, the product sits at the front, and the counter records every visitor on a tablet.

“We pay for a new stall at every show.”

A modular stall of reusable panels and frames is stored and resized, so later shows cost less. We keep what still works.

“Our stall team didn't know what to say.”

They get a short brief: who to talk to first, what to demonstrate, what to record.

“The cards came back in a bag. The first call went out three weeks later.”

Visitors are tagged hot, warm or cold and loaded into your CRM (the software where every enquiry is followed up), with a reminder for each call.

/ 04 How it runs

Brief to build-up,week by week.

We can't do magic alone. Send your goals, products and the exhibitor manual in week one. This timeline is for a custom stall at a national show.

  1. 01

    Week 1: brief and manual

Goals, products, team size and budget, read against the manual and hall plan.

  2. 02

    Weeks 2–3: layout and 3D

Zones for display, demos and meetings, 3D views from the main aisle, one or two change rounds.

  3. 03

    Weeks 3–5: approvals and orders

Drawings go in the organiser's format. Power, water and rigging are ordered before deadlines.

  4. 04

    Weeks 4–7: fabrication

Built in the workshop. You inspect it in person or on video before it is packed.

  5. 05

    Build-up and show days

Install inside the build-up window, a crew on call, and leads reach your sales team each evening.

  6. 06

    After the show

Dismantling within allowed hours, so your deposit is safe, then a short review of footfall and meetings.

Tell us what’s not working. We’ll send you an honest one-page growth plan, free.

How we deliver it, and why

  1. Read the exhibitor manual before we draw. Height, fascia and fire rules decide what can be built. A drawing that ignores them is rejected late. A one-page rules sheet for your show.
  2. Plan the visitor's walk first, then the look. People pass at walking pace, so the front must carry one product and one message. 3D views from the main aisle.
  3. Our Chief Creative Director, Sayantan Guha, leads the creative work on the stall. One idea on the front draws people in; many ideas blur. A design you approve in 3D before we build.
  4. Build and test the stall once in the workshop. A fault found at the hall means night work and extra cost. Photos or a video call before it is packed.
  5. Capture every visitor the same day. Cards left in a bag go cold within days. A hot, warm and cold list in your CRM.

Go deeper: Indian shows and the bodies behind them

AI in stall design: today and next

Today

Adobe says Firefly can make images from text, from an image or from a sketch, and that its models are trained on licensed Adobe Stock and public-domain content. Tools like this speed up early mood boards, so you react to ideas in days. The drawings the organiser approves are still made and checked by people.

Next

Our view: AI will speed up first sketches, but the hall's rules still need a person to read them. Want a quick look at your plan? Ask us.

/ 05 Cost

What a stallcosts.

We do not publish a price list. Custom stalls are usually priced on floor area. The organiser charges for space separately. Your quote comes within 2 working days.

What affects the cost

  • Floor area, and how many sides open to the aisle
  • Build option and finish
  • Screens, lighting and sound hired for the show days
  • Transport distance, build-up labour and night work
  • Reuse: a stored modular stall costs less next time

How we quote

  1. You tell us the show, dates, space size and what you will display.
  2. We read the organiser's manual for height limits, power rules and deadlines.
  3. We write the scope, with a 3D view.
  4. You get a quote with build, graphics, AV, transport and labour on separate lines. Hired items are at actuals.

What you get in the quote

  • Stall build and printed graphics
  • Lighting, screens and hired furniture
  • Transport, build-up and dismantling labour
  • Show-day crew and visitor capture

Space rent, power charges and the organiser's deposit are paid to the organiser, not part of the quote.

Our beliefChange is the only constant.

Straight answers.

  • Custom stalls are priced on floor area, and the rate moves with material, finish, height and AV. A shell scheme upgrade costs far less than a wooden stall, and a double-decker costs most. The organiser charges for space separately. We quote against a written scope.

  • Choose a shell scheme for a first show, a small space or a tight budget, and spend on good graphics and light. Choose a custom stall on bare space to show machines, run demos or hold meetings, or when competitors will be on custom stalls.

  • Start from the visitor you want, not the look. We read the exhibitor manual and hall plan, then decide the front display, the demo and meeting zones and the visitor-capture counter. Then come the 3D design, materials and graphics that read from the aisle.

  • More open sides bring more walk-ins, and some organisers charge more for corner and island spaces. One side open works like a shop front. Two sides, a corner, suit most mid-size stalls. Three or four suit big launches and heavy machines.

  • Each exhibitor manual sets maximum height and allowed materials, usually fire-retardant, plus power loads and build-up hours. Many venues ban nails or paint on the floor and hold a damage deposit. Double-deckers need structural approval. General guidance, not legal advice.

  • Yes. Our servicing team sits in cities across India and works hybrid and remotely, so the show's city does not matter. We talk daily and meet you in your city at least once every three months. See stall design in Kolkata.

  • Six build options: a shell scheme upgrade, an octanorm system stall, a wooden custom stall, a fabric stall, a modular reusable stall and a double-decker. Stalls are also described by open sides: one (inline), two (corner), three (peninsula) or four (island).

  • For custom stalls, yes. Design starts with a layout and 3D views from the main aisle, with one or two rounds of changes, and you approve them before fabrication. The quote shows build, graphics, AV, transport and labour on separate lines.
