/ 01 WhatsApp automation

Fast first reply, then a person who knows the chat.

Automating WhatsApp helps only when the first reply is quick and a person can still step in. PromotEdge is a marketing and growth agency, not an IT company.

It sets up WhatsApp automation for mid-to-large businesses across India: an instant reply, a follow-up and a reminder for every enquiry, then a handover to your team.

Here is what we usually see: your best salesperson replies at night from a personal phone, and the chats vanish when he is on leave. We automate three jobs: the first answer, a message when something happens, and a follow-up.

It suits businesses with several sales people, dealers or branches and a CRM already in use. Broadcasts and click-to-chat ads are on WhatsApp marketing. The bot itself is on chatbots. Follow-up across forms and calls is on sales automation, and help for existing customers is on AI customer support.

/ 03 What usually gets in the way

Where WhatsApp chatsgo cold, and the way through.

“A buyer messages at 9 pm. We reply the next afternoon, and they have booked someone else.”

An instant reply asks two or three useful questions and offers a call-back time. The lead is still warm when your person calls.

“Customer chats sit on one person's phone. When he quits, the history goes too.”

Chats move to a company number and are saved against the customer in your CRM (customer relationship management software). A chat nobody answers passes to someone else.

“We copy enquiries into Excel by hand, and cannot tell which ones bring sales.”

A new enquiry creates the lead record by itself. The report follows each source to a visit, booking or order.

“We forget visit, payment and appointment reminders, so people do not turn up or pay late.”

Reminders go out before the date, only to people who agreed. A reply of "reschedule" goes to a person.

“We tried a bot. Customers kept typing "agent", and some gave up.”

Bots fail with no way out. We add a clear "talk to a person" step and name who picks up. See our chatbot work.

Our beliefWe use AI to save your team's time. A person still makes the decision.

WhatsApp we builtfor ourselves.

Desi Machines is a PromotEdge group company. We built its WhatsApp "Chat with us" path, chatbot and email follow-up. We have no measured results from it yet.

/ 05 How we work

Start with one journey, then add the next.

We confirm the timeline in the quote; it depends on your accounts and Meta's approvals. The first step is a 30-minute AI check: a call with a strategist and a one-page plan on where AI would help your business first. It is for projects we think we can help. We take on a limited number and say honestly if it is a fit.

  1. 01

Read the chats, pick one journey

We list where leads go cold. One job comes first, such as the instant reply.

  2. 02

    Draw the journey and handover

We write every message and show where a person takes over. You approve the map first.

  3. 03

Set up accounts, opt-in and templates

All in your company's name. Templates go to Meta for approval.

  4. 04

    Connect the CRM

Chats flow in with source and owner. We test with dummy leads.

  5. 05

Try to break it, then launch small

We send hard and odd messages, then go live for part of your traffic and read every chat.

  6. 06

    Review every month

We fix unanswered or wrong chats and add the next journey.

How we deliver it, and why

How your business model changes the plan

A real estate team automates site-visit reminders. A school answers admission questions. A dealer-led maker sends each enquiry to the right dealer (see manufacturing). A D2C (direct-to-consumer) brand answers "Where is my order?" (see D2C). Clinics (see healthcare) send appointment and report-ready reminders.

Who sets the rules

Meta asks for a person's opt-in before you message them, with your business name stated clearly. When a customer writes, a 24-hour window opens for free replies. Outside it, only approved templates go out. Stop messaging anyone who asks. The API guide explains the charges, and our free link generator makes a click-to-chat link.

  1. Read your real chats first. Chats show where buyers go cold, so we do not guess. Sanjiv Yadav, who does our WhatsApp marketing and data research, leads the WhatsApp work. A one-page plan with an owner per journey.
  2. Start with one journey. One job that works earns trust and shows what to build next. A journey you can test on your own phone.
  3. Build to Meta's rules from day one. Opt-in and approved templates are required, so building them in avoids rework. Dated consent records and approved templates.
  4. Keep a person in every journey. A buyer ready to decide, or an angry one, needs a human. A named owner and a reply time for each handover.
  5. Read the chats every month. Real chats show what the rules missed. A short report and the next journey.

AI in WhatsApp automation: today and next

Today

As reported on 8 July 2026, WhatsApp launched the Meta Business Agent in India. It can answer customer questions, recommend products from a catalogue, manage bookings, summarise chats, flag missed messages and pass a complex chat to a person.

Limits and next

The report names no usage limits, so test any AI on your own questions first. It can be wrong and sound sure. Our view: AI will draft more replies, and your approved content and a clear handover stay the base. Want us to look at where AI could help your chats? Ask us.

/ 06 Cost

What affects the cost of WhatsApp automation.

No price list. These things move the number.

Set-up is a project; monthly care is optional, with a 3-month minimum and then 30 days' notice. Meta's charges, provider fees and CRM licences are third-party costs, billed at actuals.

What affects the cost

  • Number of journeys: reply, follow-up, reminders, order updates
  • People or teams the chats go to
  • A CRM link, and which CRM
  • Templates, and languages
  • Chat volume, which drives Meta's charges

How we quote

  1. We ask where chats are lost and who answers them
  2. We read a sample of your chats and your CRM or sheet
  3. We write the scope: journeys, routing, links, languages, handover
  4. You get a quote within 2 working days, each cost on its own line

What you get in the quote

  • The journeys, with an owner for each
  • Opt-in wording and consent records
  • Templates sent for Meta's approval
  • A test round, and a monthly report if you choose it

Comparing quotes? Ask who owns the number and chat history if you leave.

/ 07 What happens next

What happensafter you ask.

For projects we think we can help, this is how it goes.

    A strategist calls you

In one working day: a 30-minute call with one of our strategists about your business and what is not working.

  2. 02

A short, honest plan: what to fix first and what we would do. It is free.

  3. 03

A quote, if you want one

If you want to go ahead, we send a quote within 2 working days.

We confirm the timeline in the quote. Contracts start at 3 months, with 30 days' notice to stop.

Straight answers.

  • Rules and software that send and answer WhatsApp messages without someone typing each one. A new enquiry gets an instant reply, a quiet lead a follow-up, a booked visit a reminder. A person takes over when a buyer needs one.

  • A CRM that saves every chat against the right customer, with source, owner and status. You need one once several people talk to customers. With a few chats a week, the free Business app and a sheet may do, and we will say so.

  • Automate the first reply, common answers, reminders, order updates and follow-ups. Keep money disputes, complaints, special prices and a buyer ready to decide with a person. The rule is simple: software handles the repeat work, and people handle the judgement and the exceptions.

  • It can answer open questions, but it can be wrong and still sound sure, like quoting an old price. So prices and policies stay on fixed answers, and a person is one tap away. Meta's terms also bar services whose main product is a general AI assistant.

  • A greeting and an away message work on the free WhatsApp Business app. Several people on one number, journeys triggered by your CRM or website, and larger volumes need the API (the link that lets software send WhatsApp messages). Meta charges for template messages sent through it. See the API guide for rates.

  • Yes. Our servicing team is based in cities across India. We talk daily and meet you in your city at least every three months. Our in-house team of 65+ people does the work, with industry consultants and partner agencies. You keep your accounts and files.

  • The monthly report shows first-reply time, unanswered chats and chats that became visits, bookings or orders, by source. We check them against your CRM and your own sales records. If a journey changes nothing, we say so plainly, and change or stop it.
