An event should end with orders, signed dealers or named leads, not only a good show. Dealer meets, launches, conferences and trade shows, judged on what they bring.
A strategist calls you in one working day.
The hard part of an event is what happens after the guests go home. PromotEdge plans and runs dealer meets, product launches, conferences and trade-show presence for manufacturers, distributors and institutes, so each event ends with orders, signed dealers or leads you can count.
Plenty of firms in the city will sell you a stage and a caterer, and we handle those too. Our first question is different: what should happen after the guests go home? A dealer meet should end with order commitments, a launch with buyer enquiries. We plan backwards from that.
Production is delivered through PEXORA, a joint venture of PromotEdge and Prodigy: staging, sound, light, LED walls, branding and crew, so you deal with one team. We plan from our Sector V office. See our events and exhibitions service and PromotEdge in Kolkata. Planning events in other cities too? See events in Delhi NCR and Bangalore.
For brands that sell through distributors across the East: agenda, travel, stay and an order-booking desk.
02Trade, press or customer launches, with ads and social posts timed to the reveal.
03AGMs, town halls and offsites for Sector V and New Town firms, with registration, stage and AV.
04Stall design and fabrication, plus pre-booked buyer meetings and a lead sheet.
05Sponsor branding and sampling for Durga Puja, Kali Puja, Poila Boishakh and Park Street's Christmas weeks.
Stage, sound, light, LED walls and the overnight load-in, with one floor manager answering to you.
Before we quote, we check five local things.
1. Big rooms come in fixed sizes. Biswa Bangla Convention Centre (BBCC) in New Town seats 3,000 in its main auditorium, Science City 2,232 and Dhono Dhanyo in Alipore 2,000. Below that, most corporate events use hotel ballrooms, so we work out the real headcount from RSVPs before we look at a venue.
2. October to February is crowded. In 2026, Mahalaya falls on 10 October and state government offices close from 15 to 26 October. East India Print & Pack (27-29 November 2026) and India Energy Week at BBCC (28-31 January 2027) follow. Venues, hotel rooms and crews go early.
3. Trucks move at night. Medium and heavy goods vehicles carrying non-essential items may not run in Kolkata during set hours, except in the port area. The Calcutta High Court declined to interfere with the ban in February 2024. So sets, LED panels and generators usually reach the venue at night. Miss this, and you may pay for an extra venue day just to build.
4. Monsoon and nor'westers hurt open-air events. The monsoon normally sets in around 11 June and withdraws around 12 October, and Kaalbaisakhi storms hit between March and May. A lawn reception, a ground activation or a fair on Science City's 20,000 sq m open-air ground needs cover and a written rain plan. November to February is the safe window.
5. Guests may not all be from Kolkata. Burrabazar's wholesale markets supply retailers across West Bengal and neighbouring states, and the port's hinterland covers East and North-East India, Nepal and Bhutan. The Bengal Chamber counted more than 40,000 GCC (Global Capability Centre) employees in 2026, mostly in Sector V and New Town. Their events usually run in English.
Our beliefWe can't do magic alone. The more involved you are, the faster you see results.

A dealer-led B2B (business-to-business) firm builds the event around an order-booking desk. A D2C (direct-to-consumer) brand pairs a launch with codes it can count. A franchise uses meets to recruit and train owners.
Puja committees raised sponsorship rates by about 15% on average in 2025, according to the Forum for Durgotsab. A record 32 lakh people came to the 2026 Book Fair in Salt Lake. The ILPA leather fair ran on 28-30 October 2025 and the Bengal International Jewellery Show on 28-30 November 2025; the Indian Houseware Show follows on 9-11 January 2027 and MATECIA on 12-14 February 2027.

Our view: drafts of invites, schedules and slides will keep getting faster. Venue capacity, permits and the night load-in still need a person to check. Want us to show where AI saves time on your next event? Ask us.

We don't publish a price list for events. Venue, food and production are quoted at actuals, and you see each rate before you approve it.
To choose an event company, ask what result it plans around, who handles the overnight load-in and how leads are counted. Ask us the same.

We do: our office is at the Ambuja Neotia Eco Centre in Sector V, Salt Lake. Planning, venue recces and supplier briefings run from there, and you can meet the person who will manage your event before you sign. Ask us for a time and we will confirm it.
For about 300 seated with dinner, a hotel ballroom is easiest. For 1,000 to 2,000, compare large ballrooms (JW Marriott lists up to 2,000 banquet-style) with Dhono Dhanyo and Science City. For 2,500 or more, BBCC's 3,000-seat auditorium. We check live dates first.
Earlier than the rest of the year. In 2026 Puja runs from Mahalaya on 10 October to Lakshmi Puja on 25 October, and Kali Puja is on 8 November. For October to February, hold the venue three to four months ahead.
Medium and heavy goods vehicles carrying non-essential goods are barred from Kolkata's roads for set hours, outside the port area. The Calcutta High Court left that rule in place in February 2024. So material usually arrives at night. Ask us to build that into the schedule.
Yes. Scripts and printed material come through our language partners in English, Hindi, Bengali and more. A dealer meet often needs Bengali and Hindi on stage, with English slides; a Sector V town hall is usually English only. We check every version with a native reader.
Yes. The plan stays with our Kolkata team, and our in-house team does the work with partner agencies where a job needs them. Tell us the town, guest list and date, and we will say which venues and crew are practical there.
Against the target agreed before it: orders booked at a dealer meet, leads from a stall, or enquiries after a launch. We count guests against RSVPs and leads against cost. If an event did not pay back, the report says so.
