/ 01 CRM integration

Every lead arrives once, with its source and an owner.

A CRM is only as good as the data that reaches it, and most CRMs are still fed by hand. PromotEdge connects the CRM you already use, or one we help you choose, to your website forms, ad lead forms, WhatsApp, email and calls across India, so every lead arrives once, with its source and an owner.

A CRM (customer relationship management) is software that keeps your leads and customers in one place. Some tools connect with a few settings, some need a middle tool, and some do not connect at all. We tell you which is which before you pay.

Here is what we usually see: real estate buyers enquire on a portal, then WhatsApp, then walk in, and should be one person, not three. Education and manufacturing teams hit the same gap. Choosing a CRM and training are on marketing automation and CRM.

/ 03 Common hurdles

What usually gets in the way,and the way through.

“Website enquiries go to an inbox, and someone types them in when free.”

The form feeds the CRM directly with name, number, page, source and campaign. The owner gets an alert within a minute.

“The same buyer is in the CRM three times, with three owners.”

Matching rules by phone and email, old duplicates merged, one owner each.

“Facebook and Google lead forms land in a file we download weekly.”

Ad lead forms feed the CRM as they arrive. A lead that waited a week has bought elsewhere.

“Customers chat on WhatsApp, but the CRM knows nothing.”

Chats are saved against the contact, with owner and status. See WhatsApp automation.

“Dealers and branches keep their own sheets.”

Leads go to each dealer by city, product or language. They update status from their phones, and you see who follows up. For dealer logins with orders and price lists, see web portal development; for booking or approval tools, web application development.

“We spend on ads and cannot say which one brought a paying customer.”

Source and campaign travel with the lead. Qualified leads and sales go back to ad platforms as offline conversions. See analytics and tracking.

/ 04 How we work

Map first, connect one source at a time, then switch on.

Timing depends on how many sources, tools and teams are involved. We confirm the timeline in the quote.

  1. 01

    Map the lead flow

Sales and marketing draw where leads come from and go cold.

  2. 02

    One true record

One tool owns each fact, so tools never fight over a field.

  3. 03

    Check what can connect

A direct link, a middle tool or none. The rest gets a manual step and an owner.

  4. 04

    Clean, then connect

Fields matched, duplicates merged, biggest source first, tested with dummy leads.

  5. 05

    Switch on and train

Short sessions on your team's own phones, a one-page guide, close support.

  6. 06

    Review every month

Leads with no owner, duplicates, slow first calls. Then we fix them.

More on this

How we deliver it, and why

Raju Barui, our backend developer, connects your CRM and your lead sources.

How your business model changes the plan

A dealer-led B2B (business-to-business) firm needs routing by city and a view of each dealer's follow-up. A D2C (direct-to-consumer) brand needs orders and repeat buyers linked. A subscription or services business needs renewal reminders. A franchise needs one lead pool shared by outlet.

CRM and sales reporting

Once leads reach the CRM, CRM integration also feeds the reports. We set up three views from your own records: the pipeline by stage and owner, follow-up by person, branch or dealer (time to first call, leads untouched), and revenue by source. Software can draft a weekly summary, and a person reads and corrects it before it is shared. The first-reply and follow-up rules are on sales automation.

  1. Map before we connect. You cannot fix a leak you have not found. A one-page lead map.
  2. Name one owner per fact. Two tools editing one field create duplicates. A field list.
  3. Connect the biggest source first. A broken form shows up in testing, not with a customer. A test log.
  4. Report from your own CRM. You can check every number yourself. A monthly report.

Our view: scores and drafts are only as good as the data under them, so clean, connected records come first. Want us to check yours? Ask us.

/ 05 Cost

What affects the cost of CRM integration.

We quote against a written scope. Licences, middle tools and message charges are paid to their providers.

What affects the cost

  • How many sources and tools must connect, and how easily
  • How much old data needs clean-up
  • How many routing rules, dashboards and user roles
  • How much customization your team needs
  • How many branches or dealers need training

How we quote

  1. We ask where leads come from and go cold, and check your tools
  2. You get a written scope and a quote within 2 working days, set-up and monthly care on separate lines

What you get in the quote

  • The lead map, field list and tested connections
  • Clean-up, routing rules and the lead-to-revenue report
  • Training, and a monthly review if you choose it

Ask which of your tools can connect, whether there is a test round, and who owns the CRM account and data if you leave. Not sure the CRM is your problem? A marketing audit can show where leads are lost.

We use AI to save your team's time. A person still makes the decision.

Straight answers.

  • Connecting your CRM to the other tools you use, so data moves between them by itself. A website form, ad lead form, WhatsApp chat or call creates or updates the right record, with no copying by hand. Your team then sees one history for each customer.

  • It is the part of a CRM that catches each lead, gives it to the right person and tracks every call and message until it is won or lost. A CRM also keeps customers after they buy, so it covers renewals, repeat orders and service as well.

  • It can assign a lead by product, city or language, remind the owner, re-assign a lead nobody called and update a stage. It cannot fix a weak offer or a team that does not call. It makes good follow-up faster and visible.

  • Yes. We start with how your team sells, then change fields, stages, views and roles to fit and cut what sales never uses. If your CRM can do the job, we keep it, so you do not pay for a switch. If not, we help you choose one.

  • No, and we will not promise it. An API (application programming interface) is the link that lets two tools share data, and not every tool has one. We check each tool first and tell you plainly which step needs a manual hand-off and who owns it.

  • Yes. Our servicing team is based in cities across India and meets you in your city at least once every three months. Our in-house team of 65+ people does the work, with partner agencies where needed. Ongoing work has a 3-month minimum, then 30 days' notice. You keep your accounts, logins and files.

  • A monthly report from your own CRM shows leads by source, time to first call, leads with no owner, duplicates and sales by source. If a source stops arriving, the report shows it, and we fix it. You can check every number in your own CRM.

  • We have no published CRM integration case or measured result yet, and we will not invent one. On a call we show how each part works, using a test lead from a form to the owner's alert, so you can judge the set-up yourself.
