Office towers and a car-parts belt.Events that have to pay their way.

A company event is worth what it leaves behind, not how it looks on the day. PromotEdge, an event management company, plans offsites, town halls, dealer meets, launches and mall activations for offices, factories and consumer brands.

Each one starts with the result it must deliver and ends with a way to measure it.

A quick word on the name. The official name is Gurugram, and the district government uses it. Most people still search for Gurgaon, so this page does too. Both mean the same city.

Most events here are for companies: their staff, their dealers and their clients. So our first question is about the result.

Our Delhi team visits Gurgaon for the venue walk and the event days. Stage, sound, screens and branding are delivered through PEXORA, a joint venture of PromotEdge and Prodigy.

Our method is on the events and exhibitions page, and the city on our Gurgaon page. Planning events in other cities? See Kolkata and Bangalore.

/ 03 Events in Gurgaon

Who meets here, and where they go.

Four facts shape almost every event brief we get from this city.

Most events here are company events. The district site calls the city "the industrial and financial centre of Haryana", an IT hub and a centre for BPO firms. The diary fills with town halls and offsites.

The auto belt runs on dealer meets. The district site says factories grew here after the Maruti Suzuki tie-up of the early 1980s, and calls the belt through Manesar and Bawal the country's auto hub. Maruti Suzuki is part of the city's story, not our client. We judge a dealer meet by dealers signed before they leave the hall.

Malls are where office crowds spend the evening. Ambience Mall, on NH-8 in Sector 24, says it has more than 250 outlets. DLF CyberHub is in Phase 2 of DLF's Cyber City. Each mall sets its own rules, slots and charges, and we ask for them in writing first.

The biggest halls are next door, in Delhi. The city sits about 30 km south of New Delhi. Most offsites fit a hotel; a conference for thousands may need Yashobhoomi.

Places, rules and dateswe plan around.

WhatIn and near Gurgaon (as published)What it means for your event
Yashobhoomi (Dwarka, Delhi)15 convention rooms for 11,000 delegates in all, including a Grand Ballroom for about 2,500. Over 1.07 lakh sq m of halls, parking for 3,000+ cars, and its own Airport Express metro station. For conferences too big for a hotel. It is in Delhi, so Delhi's rules apply.
Signs on public roadsHaryana Municipal Corporation Advertisement Bye-laws, 2022. MCG, the city's municipal corporation, put its first full approved-site list since 2008 online in August 2025. Unapproved boards face three times the fee, as reported then.Hoardings that guide guests to your venue need approval. General guidance, not legal advice.
Shows aheadIndia Mobile Congress ran 7 to 10 October 2026 at Yashobhoomi. Bharat Mobility Global Expo: 4 to 9 February 2027, across three venues. Convergence India: 23 to 25 March 2027, Bharat Mandapam.Hotels fill up in these weeks. Use the crowd, or pick another week.
Festival weeksDussehra on 20 October and Diwali on 8 November 2026 (Delhi's list). Diwali on 29 October 2027 (central list). Haryana's own list not checked.Staff parties suit these weeks. Hold dealer meets before them.

Sources as cited, checked 4 October 2026. The MCG rules come from a news report, not MCG's own site. Malls, venues and shows are named as facts, not as PromotEdge clients or past events.

/ 05 How a Gurgaon event comes together

From the first callto the last follow-up.

  1. 01

    Agree the result (week 1)

On a video call, you tell us who is coming and what should change afterwards. We turn that into numbers.

  2. 02

Pick the date and the room

We check the show diary and festival weeks, then hold two or three venues that fit your headcount.

  3. 03

    Walk the venue (weeks 2-4)

We walk it with you. Stage plan, branding, the run sheet (the minute-by-minute plan) and permissions follow.

  4. 04

Fill the room and run the day

Invites by email, WhatsApp and phone. Our job is to impress your guests, not you. A rehearsal and one floor lead on the day.

  5. 05

    Follow up and report

Leads and dealer sign-ups reach your sales team within days. We'd rather show you results than a nice presentation.

Tell us what’s not working. We’ll send you an honest one-page growth plan, free.

How we deliver it, and why

How your business model changes the plan

A dealer-led maker needs a dealer meet with a sign-up desk. A software or services firm needs a client day or a town hall. A consumer brand needs a launch or a mall activation with contacts captured.

  1. Write the result down first. Without it nobody can say whether the event paid back. One or two numbers in writing.
  2. Count the guests honestly. An empty hall hurts more than a full small one. A venue that fits the real headcount.
  3. Check the diary before the venue. A clash with a show or Diwali costs you guests and crews. Two or three held dates.
  4. Follow up within days. Most deals close one to three months later, and warm leads cool fast. A lead list your sales team can call.

AI in events: today and next

Today

Eventbrite says its AI tools draft an event summary and description from the title, date and location, and fill in the event type and category. That saves time on listings and invites.

Our view: drafts will get faster. Choosing the room, handling a late guest and running the floor still need people. Want us to look at your next event? Ask us.

/ 06 Cost

What affects the cost of an event in Gurgaon.

No price list. These things move the number.

Venue, food, travel, stage and printing are billed at actuals. You see each rate before you approve it.

What affects the cost

  • Headcount, and how many guests fly in and need rooms
  • Venue type: a hotel with food and sound, a mall slot, or a hall with services hired apart
  • Dates: show weeks and the run-up to Diwali fill hotels early
  • Stage size, LED screen area, sound and lights
  • Mall charges, which each mall sets for itself

How we quote

  1. A first call about the result, the guests and the dates
  2. A venue shortlist, checked against show and festival weeks
  3. A line-by-line quote within 2 working days, with changes agreed in writing before a deposit

What you get in the quote

  • Our planning fee on its own line, apart from venue, stage and printing
  • Travel, permissions, set-up hours and taxes

Comparing quotes? Check that GST, venue taxes, travel and night crew are in every one, ours too.

/ 07 What happens next

Planning an event in Gurgaon?

Tell us the result you need. We'll plan the event backwards from it.

We use these details only to call you back. Privacy notice.

Straight answers.

  • Our Delhi team looks after Gurgaon, backed by a servicing team in cities across India. We meet you in Gurgaon at least once every three months and come for venue walks and event days. Our own team plans and runs the day, with partner agencies where a job needs more hands.

  • It takes the whole event off your hands: venue, guests, travel, stage, sound, food and crew. A good one also handles the invites before and the follow-up after, because that follow-up is where most of the money comes back. We also report what each rupee earned.

  • Go by the headcount you can honestly expect. For a few hundred guests, a hotel is simpler, as food and sound often come with the room. Yashobhoomi, in Dwarka, Delhi, takes 11,000 delegates across its rooms and suits large conferences. See our Delhi NCR events page.

  • Often, yes, on each mall's terms. Malls set their own slots, rules and charges, which we get in writing before we plan your stall, and build it to capture contacts. A client across the border can see our Noida events page.

  • Yes. Our language partners write scripts and printed kits in Hindi, English and more, and our team checks them. Office audiences here are often happy with English. A dealer meet with sellers from across North India usually works better with Hindi on stage.

  • Some results show on the day, such as dealer sign-ups or leads at a stall. Most sales close over the next one to three months, as your team follows up. We report both, and say so if an event did not pay back. We confirm the timeline in the quote.

  • We won't claim that title, and nobody can prove it. Ask each firm three things. Who will run the floor on the day? Can they show events that brought orders or leads, not only photos? What exactly is in the quote? Ask us the same.
