This policy explains how PromotEdge Global Services Private Limited ("PromotEdge", "we", "us") handles personal data collected through this website. We act as the data fiduciary for that data under the Digital Personal Data Protection Act, 2023 (the DPDP Act).
Who we are
PromotEdge Global Services Private Limited (CIN U74999WB2018PTC225777). Our registered address is 508, Ambuja Neotia EcoCentre 4, 508, EM Block, Sector V, Bidhannagar, Kolkata, West Bengal 700091. Email hello@promotedge.com, phone +91 98366 39955. You can also use our contact page.
What we collect
Information you give us
- Enquiry and quick-connect forms: your name, phone number, email address and company. Also the service you are interested in, an indicative monthly budget and anything you write in your brief.
- Send us your material to mark up: the link you choose to share, which may point to your own website, page or ad, along with the usual contact details.
- Careers form: your name, contact details, the role and experience level you choose, and any portfolio or profile link you share.
- Calls, WhatsApp messages and emails you send us. Tapping a phone number or WhatsApp link opens your own phone or WhatsApp, and we do not see the message until you send it. If you contact us this way, our sales team notes your number and what you asked for.
Every enquiry is kept in two places: on our website server, and in a private Google Sheet that only named PromotEdge people can open. Google Workspace stores that Sheet for us.
Information collected automatically
- The page you sent the form from, the page you first arrived on, and the website that referred you.
- Campaign details in the link you clicked, such as UTM parameters and advertising click identifiers (for example gclid or fbclid).
- A one-way scrambled version (hash) of your IP address, used only to stop spam and repeated automated submissions. Your IP address itself is not kept in the Sheet.
- Your browser type and device information.
- Small notes kept in your own browser, not cookies: the first page you landed on and where you came from, the last campaign link you used and your light or dark setting. They are sent to us only if you send a form.
- Analytics and advertising: this website uses Google Tag Manager. Through it we use Google Analytics 4 to count visits and how people move between pages. We use Google Ads, the Meta (Facebook and Instagram) pixel and the LinkedIn Insight Tag to measure and target our advertising. We use Microsoft Clarity, which records how visitors use a page (clicks, scrolling and replays), with typed text hidden. These tools load only after you agree on our cookie banner. They may then set cookies and receive your device and visit details.
Why we use it
- To reply to your enquiry and discuss the work you asked about.
- To consider your job application.
- To understand which pages, campaigns and channels bring us enquiries, so we can improve the website and our advertising.
- To keep the website secure and free of spam.
- To meet legal, tax and regulatory obligations.
We process the personal data you submit through our forms on the basis of your consent, which you give when you send the form. You can withdraw that consent at any time, and it is as easy to withdraw as it was to give (see "Your rights" below). Withdrawal does not affect processing already carried out.
Who we share it with
Inside PromotEdge, enquiry details are seen by our sales team and by the people who work on your enquiry. We do not sell personal data. We share it only with service providers who help us run this website and our business, under contracts that require them to protect it:
- Website hosting: Hostinger, which also runs the server that receives your form. Form entries are saved in a file on that server, kept outside the public part of the website.
- Email and spreadsheets: your enquiry is sent to our sales or careers inbox by the server's mail function. Where we log enquiries in a spreadsheet, we use Google Sheets (Google Workspace).
- Fonts and code libraries: every page loads Google Fonts, cdnjs (run by Cloudflare) and jsDelivr. So your IP address reaches those services when a page opens.
- Video: a few case study pages embed YouTube in its privacy-enhanced mode.
- Analytics and advertising platforms, where those tags are enabled (see above).
- Professional advisers and authorities, where the law requires it.
Some of these providers may store data on servers outside India. Where that happens we rely on the safeguards the DPDP Act and its rules require.
How long we keep it
We keep enquiry details for 24 months, or for as long as a resulting engagement runs. We keep job applications for as long as needed to complete hiring, in a separate place that only our HR team can see. After that we delete or anonymise them.
Your rights
Under the DPDP Act you can ask us to:
- Give you a summary of the personal data we hold about you and how we use it.
- Correct, complete or update it.
- Erase it, where we no longer need it or you withdraw consent.
- Nominate someone to exercise your rights if you are unable to.
- Address a grievance about how we handled your data.
Write to hello@promotedge.com with the subject "Personal data request". We will respond within the time the law requires. If you are not satisfied with our response, you may complain to the Data Protection Board of India.
Grievance officer
Grievance officer: write to info@promotedge.com.
Cookies
Cookies are small files stored by your browser. We use them to remember your light or dark theme preference. We also use them to keep campaign information between pages so we know where an enquiry came from. Where enabled, we use them for analytics and advertising measurement. You can block or delete cookies in your browser settings; the website will still work. Analytics and advertising tools load only after you agree on our cookie banner. To save you typing, the free growth plan form can fill in your industry from the last industry page you viewed on this device. This is a small note kept in your own browser for 30 days. It holds no personal data, and it reaches us only if you send the form.
Children
This website is meant for businesses and job seekers. It is not directed at children, and we do not knowingly collect personal data from anyone under 18.
Security
Enquiries are stored outside the public part of our web server and are only accessible to authorised staff. No method of transmission or storage is completely secure. We take reasonable steps to protect your data and will notify you and the authorities of a breach where the law requires.
Changes to this policy
