A full hall means little if nobody calls afterwards. Show stalls, dealer meets, plant open days and launches for Pune firms. An event counts only if something happens after it.

Factories, IT parks and a full calendar.Events with a number to hit.

An event should be planned backwards from the number it must hit, not forwards from the venue. PromotEdge runs show stalls, dealer meets, launches and staff events for makers, IT firms and shops, so that each event ends in orders, leads or sign-ups you can count.

Our first question is about the result, not the stage. How many dealers should sign the new scheme? We agree that number before we hold any hall.

Our servicing team is based in cities across India, and our in-house team of 65+ people plans on video calls. A planner travels to Pune for the venue and the show days. The PromotEdge group builds the stall, stage and branding. Delivered through PEXORA, a joint venture of PromotEdge and Prodigy.

/ 03 Events in Pune

Who gathers here, and what they expect.

Four things shape almost every Pune event.

A city of makers is a city of trade shows. ThePrint (August 2026) listed Mercedes-Benz, Volkswagen, Skoda and Mahindra & Mahindra as companies in Chakan. The state names electronics making at Ranjangaon and Talegaon among its flagship projects. These firms are not our clients.

Getting there is part of the plan. The same report says Chakan firms complain of bad roads, traffic and power cuts. Near a plant, we book truck slots, keep backup power ready and add spare time to guest buses.

Industry has its own show hall. MCCIA, a Pune chamber of commerce, says its Auto Cluster centre in Chinchwad has two halls of 20,000 and 10,000 sq ft and has hosted over 200 exhibitions in ten years. That suits focused trade shows, where the right buyers matter more than crowds.

Office parks run a different kind of event. Pune district has 232 of Maharashtra's 669 approved private IT parks, the state's Economic Survey says. Their town halls and family days must end on time.

Place or dateWhat the record showsWhat it means for your event
Auto Cluster exhibition centre, ChinchwadOn the Mumbai-Pune Road, with an auditorium for about 170 (MCCIA).Trade shows for auto and engineering buyers. We read the organiser's rules first.
Amanora Mall, Hadapsar1.2 million sq ft. The mall says it has more than 1,000 brands.Weekend crowds for launches and sampling, on the mall's own slots and charges.
Signs that guide guestsSince 27 May 2026, every legal hoarding in the PMC (Pune Municipal Corporation) area must show a QR code with its licence details. New licences have been on hold since December 2025, as of September 2026.Event hoardings go only on licensed sites. Not legal advice.
Guests flying inPune airport handled 1,10,05,988 passengers in 2025-26, including 3,39,804 international, up 34.5% (Airports Authority of India).Dealers can fly in. We plan pick-ups at Lohegaon.

/ 05 How a Pune event comes together

Five steps,from goal to leads.

  1. 01

    Fix the goal

Who should come, and what should they do after? What can't be measured can't be achieved, so we agree a number.

  2. 02

Check the calendar and shortlist venues

Festival weeks and big show dates come first. Then two or three venues, sized for an honest headcount.

  3. 03

    Visit the site

A planner walks the venue with you. The floor plan, permissions and run sheet follow. A run sheet is the minute-by-minute plan for the day.

  4. 04

    Build and run

The stall or stage is built within the venue's hours. One floor lead answers your calls.

  5. 05

    Hand over the leads

Contacts go to your sales team the same week. The report shows who came, who asked for a quote and what to change.

Tell us what’s not working. We’ll send you an honest one-page growth plan, free.

How we deliver it, and why

How your business model changes the plan

A dealer-led B2B (business-to-business) maker builds the event around a sign-up desk. An IT or services firm needs a client day or a town hall. A franchise uses meets to recruit and train owners. A D2C (direct-to-consumer) brand pairs a mall launch with codes it can count.

  1. Fix one number first. Without it, nobody can say whether the event paid back. A target in writing.
  2. Check the diary before the venue. A date that clashes with a festival or a big show costs you guests and crews. Two or three held dates.
  3. Plan plant events around the road. Trucks, buses and power decide whether the day runs on time. A load-in and guest-bus plan.
  4. Pass leads on the same week. Most orders from a show close over one to three months, and warm leads cool fast. A lead list your sales team can call.

Go deeper: Pune's calendar, stadium and Chakan logistics

A busy cultural calendar

The district site calls Pune "Maharashtra's cultural capital". The Sawai Gandharva Bhimsen Mahotsav held its 71st edition on 10 to 14 December 2025. The Palkhis, when lakhs of pilgrims walk through the city, reached Pune on 9 July 2026. PIFF, the Pune International Film Festival, draws film fans. We fix your date around days like these.

Stadium and logistics hubs

The MCA International Stadium at Gahunje seats 37,000, opened in 2012 and hosted five matches of the 2023 ICC World Cup. Match-day branding belongs to the organisers, so we ask them first. The state also lists logistics hubs at Chakan and Talegaon, which suits supplier days away from the centre.

AI in events: today and next

Cvent says its CventIQ features can write emails, social posts, event descriptions and speaker bios. That saves time on invites and event pages.

Our view: invites and summaries will get faster. Choosing a hall, handling a late guest and running the floor still take people who know Pune. Want us to look at your next event? Ask us.

/ 06 Cost

What affects the cost of an event in Pune.

No price list. These things move the number.

We don't publish a price list. After a first call we write down the scope and quote line by line. Hall hire, stall build, food and travel are passed on at actual cost, and you see each one before you approve it.

What affects the cost

  • Stall type. A shell stall, the basic booth the organiser provides, or a custom build you can reuse.
  • Venue. The Auto Cluster halls, a hotel, a mall slot or your plant. Each sets its own hire and set-up hours.
  • Guests and distance. How many dealers fly in or need rooms, and longer runs to Chakan or Talegaon.
  • Dates. Diwali weeks and big show weeks fill hotels and crews early.

How we quote

  1. A first call about the result you want, your guests and your dates
  2. A line-by-line quote; changes agreed in writing

What you get in the quote

  • Our planning fee, on its own line, apart from production
  • Stall or stage drawings, with sizes listed
  • Venue hire, power, food and transport, each at the supplier's rate
  • How contacts are captured and passed to your team

Compare quotes on who builds the stall, who runs the floor and what happens to the leads.

/ 07 What happens next

What happensafter you ask.

For projects we think we can help, this is how it goes.

  1. 01

    A strategist calls you

In one working day: a 30-minute call with one of our strategists about your business and what is not working.

  2. 02

    You get a 1-page plan

A short, honest plan: what to fix first and what we would do. It is free.

  3. 03

A quote, if you want one

If you want to go ahead, we send a quote within 2 working days.

We confirm the timeline in the quote. Contracts start at 3 months, with 30 days' notice to stop.

Planning an event in Pune?

We use these details only to call you back. Privacy notice.

Straight answers.

  • Our servicing team is based in cities across India, and it looks after Pune brands hybrid and remotely. Planning happens on calls and shared files. We travel to Pune for the site visit and the event days, and we visit regularly besides.

  • Our event work is done by our in-house team, with industry consultants and partner agencies where a job needs them. The PromotEdge group builds and runs the stall or stage. One team holds the plan, the budget and the run sheet, so you always know who to call.

  • Yes. Each organiser sets its own rules for stall size, build hours and power. We read its exhibitor manual first, then design to it. We also fix buyer meetings before the doors open, and log every visitor, so the stall is judged on leads.

  • It takes the whole event off your hands: venue, guests, travel, stall or stage, sound, food and crew. A good one also fills the room before the day and follows up after it, because the leads matter more than the photos.

  • Now. Diwali Laxmi Pujan falls on 8 November 2026. Hotels, halls and crews fill weeks ahead. For a trade show, start about three months before, so the stall design and buyer meetings are ready in time. Dealer events need rooms held early too.

  • Yes. Stage scripts, anchor lines and invites are written by our language partners in Marathi, Hindi or English. IT teams are usually happy with English. A dealer meet with sellers from small towns often works better with Marathi or Hindi on stage.

  • Some results show on the day: dealer sign-ups or contacts at a stall. Most orders from a show or a launch close over the next one to three months, as your team follows up. We report both, and say so if an event did not pay back. We confirm the timeline in the quote.
