/ 01 Brand activation agency in Kolkata

Meet buyerswhere the city gathers.

Time face to face with buyers is worth paying for only when it turns into leads and sales you can count. PromotEdge plans mall promotions, high-street sampling, Durga Puja pandal tie-ups and event-day stalls for consumer brands, retailers, banks and colleges.

Kolkata gives brands huge crowds at fixed points in the year: pandal-hopping nights, the Book Fair, weekend mall atriums, a derby at Salt Lake. Done well, an activation leaves a lead sheet. What can't be measured can't be achieved, so every day ends with a count.

On-ground work is delivered within the PromotEdge group, with crews planned from our Kolkata head office in Sector V. See how we run activations across India on our brand activation service. Bigger shows with a stage sit under our events and exhibitions in Kolkata.

/ 03 Why Kolkata needs a local plan

Big crowds, strict rules, short windows.

Four realities of this city shape every on-ground plan we make.

Durga Puja is the main stage. UNESCO listed Durga Puja in Kolkata as intangible cultural heritage in 2021. The Federal reported an estimated Rs 65,000 crore Puja economy in 2025, with Kolkata nearly 70% of it. Good pandals are booked well before Mahalaya.

KMC writes the Puja board rules. For 2026, applications ran from 20 to 25 September. No board could rise before 3 October, all had to be down by 29 October, and each showed its KMC permission ID. We check for these details before a rupee goes to a committee.

Malls and high streets draw different crowds. Cushman & Wakefield's Q3 2026 report gave high streets 94% of Kolkata's retail leasing. Atriums suit trials and demos. High streets suit drives that pull people into a store.

Weather sets the calendar. Nor'westers, the Kaalbaisakhi storms, arrive from March to May, and July and August are the wettest months in Alipore's normals. Open-air dates in those months need a covered fallback.

/ 05 How a Kolkata activation runs

Five stepsfrom goal to lead sheet.

  1. 01

    Goal and numbers (week 1)

Leads, trials or bills: we agree the one number that matters, and what it is worth to you.

  2. 02

    Sites and dates (weeks 1-2)

Malls, markets, pandals or events matched to your buyer, footfall claims questioned, slot fees quoted.

  3. 03

    Permissions and kit (weeks 2-4)

Mall approvals, committee contracts, KMC permission for any outdoor boards, and stalls built. Scripts come in Bengali, Hindi and English.

  4. 04

    Live days

Promoters briefed and tested on the product. An evening report of footfall, trials and leads, with time-stamped photos.

  5. 05

    Hand-over and review

Leads go to your sales team daily. At the end you get cost per lead and, where sales report back, cost per sale.

How we deliver it, and why

How your business model changes the plan

A retailer wants store visits, so the activation sits near the shop. A bank or telco wants sign-ups in office parks. A D2C (direct-to-consumer) brand wants trials that turn into repeat orders on WhatsApp. A college wants campus walk-ins.

  1. Agree one number first. A crowd is not a result, and leads, trials and bills are. A target per day.
  2. Question the footfall claim. A mall's or committee's figure is their own estimate. Terms in writing.
  3. Clear permissions before paying. A board or stall without them can be pulled down. A permission ID per board.
  4. Brief and test the promoters. The first ten seconds at the counter decide the lead. A trained crew.
  5. Report every evening. Stock and scripts can change the next morning. Footfall, trials and leads, with photos.

Go deeper: Puja, the Book Fair and the rules

Puja money and rules

Forum for Durgotsab's general secretary said the average sponsorship hike in 2025 was around 15 per cent, and committee-linked ad spots were booked well in advance. For 2026, temporary bamboo structures were capped at 22 feet, and each approved board had to show the committee's name and the advertiser's name and phone number.

Book Fair

The 49th fair ran from 22 January to 3 February 2026. The Publishers and Booksellers Guild reported 32 lakh visitors, up from 27 lakh the year before, and over 1,000 stalls, so space needs booking well ahead.

Night loading

Medium and heavy goods vehicles carrying non-essential items face daytime limits in Kolkata, outside the port area, and the Calcutta High Court declined to interfere. So kiosks and sets travel at night. We check the current notification for each job.

AI in brand activations: today and next

Today: WhatsApp

Meta announced Business AI on WhatsApp in May 2026 for eligible small and medium Indian businesses. It answers customer questions, captures leads and books appointments, and the owner can step in at any time. A stall QR code can lead to it. Meta does not list the eligibility criteria on that page.

/ 06 Cost

What a Kolkata activation costs.

We do not publish a price list, because a one-day mall stand and a Puja season across many sites are far apart in size. Venue fees, committee sponsorships and materials are billed at actuals. We send the quote within 2 working days.

What affects the cost

  • Venue: mall slot fee, pandal sponsorship or fair stall rent
  • Season: Forum for Durgotsab put the average sponsorship rise at around 15% in 2025
  • Number of days, sites and promoters
  • Stall fabrication, branding and sampling stock
  • Permissions, overnight transport and daily reporting

How we quote

  1. Tell us the product, the buyer you want to meet and how many leads would make it worthwhile.
  2. We shortlist sites and ask each venue for its terms in writing.
  3. You get a quote with our management on one line and venue and committee costs at actuals.

What you get in the quote

  • Each site and day, with the venue's own charge as quoted to us
  • Promoters: how many, for how many hours
  • The lead capture method and the daily report

A mall's or committee's footfall figure is their estimate, not your result. We'd rather be blunt than pleasing: a crowd is not a result.

/ 07 What happens next

What happensafter you ask.

For projects we think we can help, this is how it goes.

  1. 01

    A strategist calls you

In one working day: a 30-minute call with one of our strategists about your business and what is not working.

  2. 02

    You get a 1-page plan

A short, honest plan: what to fix first and what we would do. It is free.

  3. 03

A quote, if you want one

If you want to go ahead, we send a quote within 2 working days.

We confirm the timeline in the quote. Contracts start at 3 months, with 30 days' notice to stop.

Planning on-ground in Kolkata?

Pick your crowd. We'll plan the day around it.

Or leave your number. A strategist calls you in one working day.

We use these details only to call you back. Privacy notice.

Straight answers.

  • Activations are planned at our head office, Suite 508, Ambuja Neotia Eco Centre, Sector V, and delivered within the PromotEdge group. Our team and partners come to you for each brand activation, and we stay in touch every day from the office.

  • By June or July. Strong pandals sign sponsors early, committees raised rates about 15% on average in 2025, and KMC's 2026 window for Puja board applications ran only from 20 to 25 September. In 2026 Mahalaya fell on 10 October and Dashami on 21 October.

  • It depends on the job. Malls give controlled space, power and a known crowd for trials and demos. High streets and markets such as Gariahat put you beside shoppers ready to buy, especially before Poila Boishakh and Puja. Many activation plans use both.

  • Often, through the organiser or the rights holder, and we never promise space we have not secured. In 2026 the fair reported 32 lakh visitors across 13 days, so stall space for an activation needs booking well ahead. Match-day fan zones are booked through whoever holds the stadium's commercial rights.

  • We plan for it. Nor'westers come between March and May, and July and August are the wettest months in Alipore's normals. Open-air activation dates in those months get a covered fallback or a rain date written into the venue contract, so one storm does not cancel the whole day.

  • Promoters are briefed in the language of the crowd. Our language partners write the scripts, leaflets and lead forms in Bengali, Hindi or English to match, and our team checks each one before the activation starts. A pandal crowd and an office-park crowd rarely speak the same way.
