/ 01 Annual report design

An annual reportpeople actually read.

An annual report is a legal document first and a design job second, so dates and figures come before decoration. PromotEdge plans, writes and designs annual, BRSR and ESG reports for listed and soon-to-list Indian companies, timed for the annual general meeting (AGM).

Choose this over our general graphic design when the document carries legal weight, because we never change a signed number. For a plain introduction, see company profile design. For sustainability alone, see ESG report design.

Most clients are listed firms in manufacturing and real estate, or companies heading for an IPO (initial public offering, the first sale of shares to the public). Clinics and diagnostic centres that report to investors or lenders use the same format.

Which parts apply depends on whether you are listed, your size and sector. This is general guidance, not legal advice; your company secretary decides.

/ 03 Common hurdles

What usually gets in the way,and the way through.

“Every year the report becomes a last-minute rush.”

We plan backwards from your AGM date in week one, with an owner and a deadline for each section.

“Figures at the final proof did not match the accounts.”

Financials come from your final files, not retyped, and are checked line by line on every proof.

“We just entered the top 1,000, and the BRSR is new to us.”

We lay out SEBI's format and give your team a tracker of who answers which question.

“Shareholders open the PDF on a phone and give up.”

You get a bookmarked PDF light enough to email, plus a web version that reads well on a phone.

“Our ESG work is real, but the report reads like a government form.”

We pair the BRSR with a readable story of projects and people, figures matching.

/ 04 Timeline

Working backfrom the AGM date.

  1. 01

16 weeks before (early June for a late-September AGM): brief and plan

With the company secretary and CFO, we agree the theme, a flatplan (a page-by-page map), owners and sign-off dates.

  2. 02

14 to 9 weeks before: design and story pages

Cover, grid, chart style and photography, then the chairman's message and ESG stories.

  3. 03

9 to 6 weeks before: statutory sections and financials

Directors' report, MD&A, governance report, BRSR and financials, typeset from approved drafts and checked against signed accounts.

  4. 04

    5 weeks before: final sign-off

Board-approved text in, auditors' reports placed as signed. Then files freeze.

  5. 05

4 weeks before: print and digital versions

Press files go to your printer. All versions come from the same files, ready at least 21 days before the meeting.

  6. 06

    After the AGM

If the report changes at the meeting, LODR asks for the revised copy within 48 hours, so files stay ready. The charts then carry into your investor deck and website.

More on this

How we deliver it, and why

How your business model changes the plan

A listed company works to the fixed calendar above. A firm heading for an IPO uses its first report to tell new investors its story. An unlisted firm has no LODR dates, but lenders and large customers still read its report.

A few more rules, in general terms

LODR Regulation 34 sends the annual report to the exchanges and onto your website by the day dispatch starts. Regulation 33 asks for audited annual results within 60 days of year-end. The Companies Act asks for the AGM within six months of year-end, so by 30 September for a March year-end. Voluntary ESG reports often follow the GRI (Global Reporting Initiative) Standards.

Source: SEBI LODR Regulations 2015, Regulations 33 and 34; Companies Act 2013, section 96. General guidance, not legal advice

  1. Plan backwards from the AGM. A fixed date is the one thing that cannot move. An owner and a date for every section.
  2. Import the financials, never retype them. A retyped number is where a mismatch starts. Line-by-line checks on every proof.
  3. Mark every proof. The company secretary and auditors need to see what changed. A marked proof each round.
  4. Freeze the files after sign-off. Late edits are where errors slip in. One named person for later changes.

AI in annual report design: today and next

Today: Gemini in Google Slides

Gemini can summarise a presentation and write or rewrite text from your Drive files. Google's page says it may suggest inaccurate information. Our view: fine for a first read of a long draft, never for a figure. Every number still comes from the signed accounts.

Source: Google Workspace Help, Gemini in Google Slides, read 10 October 2026

Next

Our view: drafts will get faster. Checking and sign-off will stay with your secretary and auditors.

Our beliefWe believe in process. Good results should repeat, not happen by luck.

/ 05 Cost

What an annual report costs.

Each report is quoted against an agreed page plan. Paper, printing and photography are listed separately. Printing is delivered through PEXORA, a joint venture of PromotEdge and Prodigy.

What affects the cost

  • Page count, especially the financial statements and notes
  • Writing and editing compared with typesetting approved text; charts and photography
  • Versions needed: print, filed PDF, email PDF, web or interactive
  • Print quantity, paper and finishing, and how late final numbers arrive

How we quote

  1. We talk about your AGM date, last year's report and what you want to change
  2. We write a page plan with sections, versions and dates counted back from the AGM
  3. You get a quote within 2 working days, each cost on its own line

What you get in the quote

  • The page plan and the list of versions
  • Design, typesetting and the number of correction rounds

To compare quotes, ask each agency for the same page count, versions and correction rounds.

/ 06 What happens next

What happensafter you ask.

For projects we think we can help, this is how it goes.

  3. 03

A quote, if you want one

If you want to go ahead, we send a quote within 2 working days.

We confirm the timeline in the quote. Contracts start at 3 months, with 30 days' notice to stop.

Straight answers.

  • It depends on page count, versions and how much is written fresh. A 60-page report for a newly listed SME costs far less than 300 pages for a large group. Printing is extra, billed at actuals. We quote after a first conversation, against a written page plan.

  • Plan on 12 to 16 weeks for a full report, counted back from the AGM. The financial statements alone need two to three weeks once accounts are final. Close to your AGM? Share the date on the first call and we will say what is possible.

  • Under Regulation 34 of SEBI's LODR: audited standalone and consolidated statements, the directors' report, the MD&A and the governance report, plus a BRSR for the top 1,000 listed companies by market capitalisation. This is general guidance, not legal advice; your company secretary decides.

  • The BRSR is mandatory for the top 1,000 listed companies and follows SEBI's fixed format on nine principles. Its BRSR Core figures need outside assurance, phased in by size. An ESG report is voluntary. We design both, as one team, so the numbers match.

  • Usually all three. Under LODR, listed companies email the report to shareholders with registered emails and print only for those who ask. The filed PDF stays official, and a web version helps on a phone. We manage printing, or set files for your printer.

  • Check every figure against the signed accounts, every date against your calendar, and every section against who approved it. We send a marked proof each round, so nothing changes without a trace. The company secretary and auditors give the final sign-off.

  • Yes. Our servicing team is based in cities across India, and reports run on shared files, calls and online proofs, so your city does not change the work. We visit regularly, and our in-house team of 65+ does the work.

  • We share relevant work when we talk. Before you commit, we also walk you through the page plan and calendar we would use for your report, so you can see how we would handle your dates, owners and proofs. A sample page cannot show that.
